What Is Immersive Event Staffing?

Staffing a regular conference or trade stand is very different from working at an immersive event. At a trade show, staff can step back, but at an immersive event, they are involved in the visitor experience from start to finish.

The roles we provide are tailored to each event. Exhibition Staff

Exhibition staff are the backbone of most immersive events. They help keep things running smoothly, manage interactive features, and ensure every part of the experience is covered.

Disney100 — ExCeL London

Disney100 was one of the largest immersive experience exhibitions staged at ExCeL London. High daily footfall, shifts of up to 12 hours, and a brand with exceptionally high service expectations meant the staffing requirement went well beyond just filling roles. The client needed teams who could maintain consistent energy and professionalism across the full run, day after day, without the drop-off in standards that often appears once an exhibition settles into its rhythm.

Our staff handled all visitor-facing roles, including ticketing, photo spots, gallery spaces, and guest services. Everyone was fully briefed on Disney’s brand standards before the event started. During the run, we provided 13,234 staffing hours over 2,513 shifts, with a 99.52% attendance rate.

F1 — The Exhibition, ExCeL London

The F1 Exhibition mixed gallery spaces with exciting interactive features such as racing simulators, green-screen photo spots, and pit-wall displays. Each area needed staff who could confidently guide visitors, keep them engaged, and manage the flow in a busy venue during long days.

Our teams managed simulators, photo spots, audio guide distribution, entrance duties, and gallery support. We also included additional staff on every shift to cover breaks, which is important for long-hour events. We delivered 12,805 staffing hours over 1,104 shifts, with a 99.18% attendance rate.

Minecraft: Villager Rescue — Canada Water, London

Minecraft: Villager Rescue was a high-footfall, family-focused immersive experience that ran for an extended period at Canada Water, London. It required energetic, approachable staff who could sustain genuine engagement with visitors of all ages across every operating day of a long run.

Our teams worked across front desk operations, ticket scanning, photo opportunities, gallery spaces, and the on-site retail shop. Staff were selected and briefed specifically for the interactive nature of the event. Across the full run, we delivered 69,887 staffing hours across 6,497 shifts, with a 99.45% attendance rate. At that volume, over that duration, reliability is not a nice-to-have. A consistent drop-off in attendance would have created staffing gaps that directly affected the visitor experience. It did not happen.
