Case Study: Disney100 – The Exhibition, ExCeL London

The Project

We were proud to provide staffing support for Disney100 – The Exhibition at ExCeL London, delivering cover throughout the show’s full run from 2023 into 2024. Marking Disney’s 100th anniversary, this was a landmark, large-scale immersive experience that brought together decades of storytelling, costumes, artwork, and interactive moments in one of London’s most prominent exhibition venues. It attracted a wide and steady stream of visitors, from lifelong Disney fans to families looking for a day out, and it demanded a level of polish and consistency befitting one of the world’s most recognised brands.

With high daily footfall and shifts running up to 12 hours, the client needed a staffing partner able to hold that standard day after day, for the entire run, without any drop in quality. Our role was to supply experienced, guest-focused staff who could step seamlessly into the exhibition team and help deliver a world-class visitor experience from the first day of opening through to the very last.

Our Approach

Each day, we provided multiple team members to cover every key visitor-facing role across the exhibition. This included ticketing, where staff managed entry and answered pre-visit questions; photo opportunity stands, where guests were guided through interactive moments and keepsake photos; and the gallery spaces themselves, where staff supported visitor flow, answered questions about the exhibits, and helped maintain the immersive atmosphere the exhibition was built around.

Staff were briefed and trained ahead of opening to handle changing visitor volumes throughout the day, respond confidently and knowledgeably to guest queries, and work closely with on-site management to keep the exhibition running efficiently at all times. This preparation was essential given the scale of the operation and the standards visitors rightly expected from a Disney-branded experience.

Professionalism and consistency sat at the centre of everything we did. Rather than treating staffing as a simple rota-filling exercise, we focused on getting the fundamentals right every single day: staff who were warm, approachable, and well-informed, who could keep the visitor flow smooth even during busy periods, and who represented the exhibition and the Disney brand with genuine care and attention to detail.

Delivery at Scale

Staffing a landmark exhibition of this size, over a run lasting more than a year, required careful planning, clear communication, and scheduling the client could rely on without question. This wasn’t a short-term event with a fixed, predictable pattern visitor numbers fluctuated across weekdays, weekends, school holidays, and seasonal peaks, and our scheduling had to flex accordingly while never compromising on coverage.

Over the course of the project, we delivered:

  • 13,234 staffing hours
  • 2,513 shifts fulfilled
  • 99.52% attendance rate

These aren’t just numbers on a page. A 99.52% attendance rate sustained across a run of this length meant the client never had to think twice about coverage it was simply there, every day, at the standard the exhibition demanded. In an industry where last-minute no-shows and gaps in cover are a constant risk, maintaining that level of reliability across thousands of shifts is a genuine achievement, and one we’re proud of.

Regular check-ins with the client kept us ahead of changing needs throughout the run. When visitor numbers spiked around school holidays or promotional periods, we scaled up quickly to match demand. During quieter stretches, we held staffing at the right level without over- or under-resourcing the exhibition. Throughout it all, service standards remained consistent visitors on a quiet Tuesday morning received the same quality of experience as those on a packed Saturday afternoon.

Results

Disney100 – The Exhibition ran smoothly from opening day to closing, with every visitor supported by a team that took real pride in getting the details right. Our staff played a genuine part in the exhibition’s day-to-day success professional, dependable, and fully aligned with the standard Disney sets for its guest experience worldwide.

For the client, that translated into a staffing partner they didn’t need to worry about. No gaps in cover, no drop-off in quality over the course of a long run, and no surprises just consistent, reliable delivery from a team that understood what was at stake in representing a brand of this stature. Over 13,000 hours and 2,500 shifts, that reliability never wavered.

Beyond the numbers, the real measure of success was the experience visitors walked away with: smooth entry, friendly and knowledgeable staff at every turn, and an exhibition that felt as polished on its final day as it did on its first. That combination of scale, consistency, and genuine guest care is exactly what we aim to deliver on every project, and Disney100 stands as one of our clearest examples of it in action.
